1. Introduction
R-Link LLC (“R-Link,” “we,” “our,” or “us”) provides R-Link Studio, a platform for meetings, webinars and live streams with interactive elements, together with our websites, mobile and desktop apps and related services (collectively, the “Services”). This Privacy Policy explains what personal information we collect, how we use and share it, and the choices you have.
The short version: we use your information to run and improve the Services, process payments and support you. We do not sell your personal information. We use advertising and analytics cookies on our marketing website only with your consent.
2. Scope of This Privacy Policy
This policy applies to information we process as the operator of the Services, including information about account holders (“Hosts”), team members and visitors to our websites.
Information Hosts collect from their attendees. When a Host uses R-Link Studio to run a meeting, webinar or live stream, the Host decides what to collect from attendees (for example, through lead capture forms, registration pages, polls, checkout or contracts) and how to use it. For that information we act as a service provider (processor) on the Host’s behalf, and the Host’s own privacy policy governs it. Attendees with questions about how a Host uses their information should contact that Host.
3. Information We Collect
Information you provide
- Account information: name, email address, username, password (stored only in hashed form), phone number, company name, logo or profile photo, language and time zone.
- Billing information: your plan and billing history. Card details are entered into and stored by our payment processor, Stripe; we do not store full card numbers.
- Content: anything you create, upload or share in the Services, such as presentations, files, elements, chat messages, poll and Q&A responses, and recordings.
- Support and communications: messages you send us through our website forms, email or in-app support, including attachments.
- Affiliate and payout information (only if you join our affiliate program): payout preferences, PayPal email and bank account details (stored encrypted), and, if you choose, a digital wallet address.
Meeting and event information
- Audio and video transmitted during meetings, webinars and live streams.
- Recordings, when a Host chooses to record.
- Transcripts and captions. R-Link Studio automatically generates a speech-to-text transcript of meetings to power captions, meeting notes, summaries and search. Transcripts are stored in the Host’s account.
- Participant information such as display names, join and leave times, and reactions.
Information collected automatically
- Device and log information: IP address, browser and device type, operating system, approximate location derived from IP address, pages viewed and actions taken. We keep login history (including IP address and browser) to protect your account.
- Usage information: how you use features, so we can fix problems and improve the Services.
- Error diagnostics: when something breaks, we collect technical error reports. Personal details are masked or removed from these reports.
- Cookies and similar technologies, described in Section 8.
Information from others
- Connected accounts you choose to link, described in Section 4.
- Referral information when you arrive through an affiliate link.
- Partners through whom you purchased or enrolled, where applicable.
4. Connected Third-Party Accounts
You can choose to connect other services to R-Link Studio, for example a calendar (Google or Microsoft), video platforms for uploads (such as YouTube), live-streaming destinations (by entering a stream key for YouTube, Facebook, LinkedIn, X, Twitch or a custom RTMP server), a CRM (such as GoHighLevel), Zapier or your own webhooks. When you connect a service, we exchange only the information needed for the feature you turned on, and we store access tokens and keys encrypted. You can disconnect a service at any time, and we stop sending data to it.
When you connect a CRM, webhook or automation, information about your attendees (such as leads and registrations) is sent to the destination you chose. That service’s own terms and privacy policy apply to data once it arrives there.
5. Google API Services User Data
If you connect a Google account, we request only the access needed for the feature you choose, such as creating and reading calendar events, reading your calendar list and your email address, or uploading recordings to your YouTube channel. R-Link’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data to serve advertising, and we do not sell it. You can revoke access at any time from your R-Link settings or your Google account.
6. How We Use Your Information
- Provide, operate and maintain the Services, including meetings, recordings, transcripts, elements and live streaming.
- Provide AI features you use, such as meeting notes, summaries, chat summaries, clips and translation (see Section 7).
- Process payments, subscriptions, payouts and refunds.
- Provide customer support and respond to requests.
- Send service messages, such as account, security, billing and “your recording is ready” emails.
- Send marketing messages, where permitted; you can opt out at any time.
- Measure and improve our marketing, including through advertising cookies on our website when you consent.
- Keep the Services secure, prevent fraud and abuse, and debug problems.

We do not use the content of your meetings, recordings or transcripts to target advertising.
7. How We Share Your Information
We do not sell your personal information. We share it only as described here.
Service providers
We use trusted providers to run the Services. They may process personal information only to provide their services to us:
- Real-time video, audio, chat, recording and live transcription: Agora.
- Cloud hosting, storage and databases: Amazon Web Services (recordings and files), Railway and Vercel (application hosting), and our database and caching providers.
- Payments: Stripe.
- Transcription and translation: Deepgram, and text translation providers such as LibreTranslate or Google Translate.
- AI processing: Fireworks AI and, where enabled, Google (Gemini). These providers receive the meeting text needed for the AI feature being used, such as a transcript to summarize.
- Email: SendGrid.
- Customer support: Zendesk.
- CRM and website forms: GoHighLevel (LeadConnector).
- Error monitoring: Sentry.
- Affiliate payouts: PayPal and banking partners.
At your direction
When you share a recording link, publish a webinar replay, stream to another platform, connect an integration or send data to a webhook, we share information as you direct. Webinar replays may be public if the Host does not require registration.
Hosts and other participants
If you attend a Host’s event, the Host and other participants can see your display name, video and audio (if enabled) and chat messages, and the Host receives information you submit through the Host’s elements, such as forms, polls, purchases and signed contracts.
Advertising partners
With your consent, our marketing website uses advertising and analytics tags, such as the Meta Pixel and, if added, Google Analytics. These partners may receive information about your visit, such as pages viewed and your IP address, to measure and improve our advertising. Under some U.S. state laws this may be considered “sharing” for cross-context behavioral advertising. You can opt out at any time (see Sections 8 and 12).
Legal and business transfers
We may disclose information if required by law, to protect the rights, safety and property of R-Link, our users or others, or in connection with a merger, acquisition or sale of assets, in which case this policy will continue to apply to your information.
8. Cookies & Tracking Technologies
- Essential cookies and storage keep you signed in, remember your settings and keep the Services secure. These are always on.
- Referral cookies record which affiliate referred you, so they can be credited. They last up to 60 days.
- Cookieless website analytics. Our marketing website uses Vercel Web Analytics to count page views and see which pages are popular. It sets no cookies, does not track you across other websites and reports only aggregated statistics, so it runs without the cookie banner.
- Advertising and analytics cookies (such as the Meta Pixel) are used on our marketing website only if you click “Accept all” in our cookie banner. We honor the Global Privacy Control signal as an opt-out. You can change your choice anytime using “Your Privacy Choices” in the website footer.
The R-Link Studio app itself does not use third-party advertising trackers.
9. Data Retention
We keep personal information for as long as your account is active and as needed to provide the Services. Recordings, transcripts and other content remain in your account until you delete them; when you delete a recording, its files are removed from our storage shortly after. If you cancel your subscription, your content remains available so you can return or retrieve it, unless you ask us to delete it. We keep certain records longer where required for legal, tax, security or dispute-resolution purposes.
You can delete your account from your account settings. To have all of your recordings and other content permanently erased, delete them before closing your account or email support@r-link.com and we will remove them.
10. Security
We use administrative, technical and physical safeguards designed to protect personal information, including encryption in transit, hashed passwords, encrypted storage of connected-account tokens and bank details, access controls and time-limited links for recording downloads. No system is completely secure, and we cannot guarantee absolute security. Please use a strong, unique password and keep it confidential.
11. International Data Transfers
R-Link is based in the United States, and our service providers may process information in the United States and other countries. Where required, we use appropriate safeguards for transfers, such as standard contractual clauses.
12. Your Privacy Rights
Depending on where you live, you may have the right to:
- Know and access the personal information we hold about you;
- Correct inaccurate information;
- Delete your information;
- Receive a copy of your information in a portable format;
- Opt out of the “sharing” of personal information for cross-context behavioral advertising, and of targeted advertising;
- Object to or restrict certain processing, and withdraw consent; and
- Not be discriminated against for exercising these rights.
To opt out of advertising cookies, use “Your Privacy Choices” in the website footer or enable Global Privacy Control in your browser. To make any other request, email support@r-link.com. We will verify your request and respond within the time required by law. You may use an authorized agent where the law allows. If we deny your request, you may appeal by replying to our response.
If you attended an event run by a Host, please contact that Host about information they collected; we will assist them as required.
13. Children’s Privacy
The Services are not directed to children under 16, and account holders must be at least 18. We do not knowingly collect personal information from children under 13. If you believe a child has provided us personal information, contact us and we will delete it.
14. Changes to This Privacy Policy
We may update this policy from time to time. We will post the updated version with a new effective date and, for material changes, notify you by email or in the Services before the change takes effect.
