The short answer

To run a virtual auction, host a live video event, present each item with its story, and let guests bid on screen in real time while an auctioneer keeps the energy up. Close each item with a countdown, then send each winner an invoice or payment link. R-Link Studio has an Auction element with live bidding on screen, so supporters bid without leaving the event.

Silent auction vs. live virtual auction

A silent auction runs for days on a bidding website. It’s easy, but it rarely creates excitement.

A live virtual auction happens during your event. Guests watch the bids climb on screen, the host tells the story behind each item, and the competition raises more for your cause.

How to run a live virtual auction, step by step

  1. 1

    Choose a few strong items

Pick 5 to 10 items people will compete for: experiences, unique access and local favorites work well.

  2. 2

    Set opening bids and increments

Decide each item’s starting price and how much each new bid must go up. In R-Link you can also set a reserve price and a buy-now price.

  3. 3

    Plan the run of show

Open with your mission, then alternate stories and auction items so the energy builds.

  4. 4

    Put bidding on screen

Show each item with live bidding in the room. In R-Link, the Auction element displays the current bid as guests place theirs.

  5. 5

    Close with a countdown

Use an on-screen Timer for the final seconds of each item. Countdowns drive last-minute bids.

  6. 6

Collect from winners and thank donors

Each winner submits a payment request in the room; follow up with an invoice or payment link. Give everyone else a way to give, like a QR code to your donation page.
